Reflective Room Psychology Practice

Welcome to Reflective Room Psychology Practice ("we", "us", "our") (ABN 50 363 0616 73).  By accessing our website (www.reflectiveroompsychology.com.au) or engaging our psychological services, you agree to the following Terms and Conditions. These govern your use of our site and participation in psychological treatment, assessments, and related services.

1. Nature of Services

  • We provide psychological services including assessment, therapy, and workplace-focused interventions.

  • Services are delivered by registered psychologists in accordance with the Psychology Board of Australia’s Code of Ethics and relevant legislation.

2. Eligibility and Consent

  • Clients must be 18 years or older or have parental/guardian consent if under 18.

  • By booking a session, you agree to review the informed consent form devised by Reflective Room Psychology Practice ahead of any initiation in any psychological service.

3. Privacy and Data Storage

  • We collect personal and health information to provide psychological care, manage appointments, and meet legal obligations.

  • All client records are securely stored using Halaxy, a practice management platform that complies with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

  • Halaxy uses encryption, secure servers, and access controls. Only authorised personnel involved in your care can access your records.

4. Appointments and Cancellations

  • Appointments can be booked via Halaxy.

  • You can e-mail us to confirm suitability via e-mail or phone.

  • Cancellations require at least 48 hours’ notice. Late cancellations or missed appointments will incur a fee as outlined in our Cancellation Policy.

5. Fees and Payments

  • Fees are disclosed prior to booking and may vary based on service type.

  • Payment is due at the time of service unless otherwise agreed.

  • Rebates may be available through Medicare, private health insurers, or third-party funding (e.g. WorkSafe VIC, SIRA), subject to eligibility.

6. Reports and Documentation

  • Reports may be prepared upon request and may incur additional fees.

  • We reserve the right to decline report preparation if clinically inappropriate or outside scope.

7. Confidentiality and Disclosure

  • Your information is confidential and will not be shared without your consent, except where:

    • Required by law (e.g. court order, mandatory reporting)

    • There is a serious risk to your safety or the safety of others

  • We comply with all legal and ethical obligations under Australian law and professional guidelines.

8.  Limitations and Disclaimer

  • In instances where telehealth is clinically not appropriate due to the severity of the mental health condition and limitations in technology use (or the like), your treating psychologist will make alternate recommendations. 

  • Website content is for informational purposes only and does not replace professional advice or diagnosis.

  • Psychological services are evidence-based but outcomes may vary.

9. Changes to Terms

  • We may update these Terms periodically. Continued use of our services or website indicates acceptance of any changes.

10. Governing Law

  • These Terms are governed by the laws of New South Wales, Australia. Any disputes will be subject to the jurisdiction of NSW courts.
